We only use cookies that are not technically necessary, Google Analytics and Google Ads with your consent. We process personal data when you visit the website, book an appointment or write to us; maps and videos from other providers only load once you click on them. What exactly happens here is explained below.

Further details can be found in the Imprint. You can reach our data protection officer, Dr. Dennis Lehmkuhl, at datenschutz@weight-doctors.de or by post at the address above, marked “for the attention of the data protection officer”.

Visiting the website

When you visit the website, your browser transmits technical information to our server, which is stored there in log files: IP address, date and time, the address requested, the amount of data transferred, the page you visited previously, browser type and operating system. This information is necessary so that the website can be delivered and operation remains secure. The legal basis is Art. 6(1)(f) GDPR. The logs are deleted after seven days at the latest.

Cookies, consent and privacy settings

Cookies are small text files that your browser stores. We only use cookies that are not technically necessary, and similar technologies, with your consent. On your first visit we ask you about this, separately for Necessary (stores your selection in the cookie “cc_cookie” for six months, cannot be deselected), Statistics (Google Analytics) and Marketing (Google Ads conversion tracking). The consent window is part of our website and does not load anything from third parties. You can change or withdraw your selection at any time via “Privacy settings” in the footer of every page; withdrawal applies for the future.

The legal basis for necessary cookies is § 25 Abs. 2 Nr. 2 TDDDG in conjunction with Art. 6(1)(f) GDPR, and for all others your consent under § 25 Abs. 1 TDDDG and Art. 6(1)(a) GDPR.

If you choose a location in the bar at the bottom of the page, or in the appointment booking, we store it in your browser’s memory so that you do not have to choose it again. It stays on your device and does not reach us.

Google Tag Manager

We use Google Tag Manager from Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland (“Google”). Tag Manager is only loaded once you have consented to “Statistics” or “Marketing”, and then loads only the tools you have agreed to. Without consent, or after “Necessary only”, our website does not connect to Google. Tag Manager itself does not set any cookies and does not evaluate any data. Google’s consent mode (Consent Mode) passes your selection on to the tools: Google Analytics only runs with consent to “Statistics”, Google Ads only with consent to “Marketing”. If you withdraw your consent, the page reloads without the services you have deselected.

When Tag Manager and the tools are loaded, Google receives your IP address for technical reasons. Data may be transferred to the USA in the process; Google LLC is certified under the EU-US Data Privacy Framework.

The legal basis is your consent (§ 25 Abs. 1 TDDDG, Art. 6(1)(a) GDPR).

Google Analytics

With your consent to “Statistics”, we use Google Analytics 4 from Google to understand how our website is used and to improve it. Google Analytics then sets the cookies “_ga” and “_ga_…” with a lifetime of up to two years.

What is recorded includes, for example, pages viewed, time spent and scroll depth; clicks on phone numbers, email addresses, appointment booking buttons, links to the route planner and the menu, on our profiles in social networks and our reviews on ProvenExpert; frequently asked questions that are opened. In addition there are loading times and technical errors of the website as well as device, browser, approximate location (derived from the IP address) and the page or campaign through which you came to us.

For the online appointment booking, we record the start, the submission and the steps of the booking, in each case without content. If you choose an appointment, we only transmit the lead time, day of the week and time of day, never the date and time. If you use the search on our website, we transmit the search term and the number of results; we remove email addresses and longer strings of digits such as phone numbers beforehand. The search itself runs in your browser, without a search service.

We do not transmit names, contact details, message contents or free text from forms to Google Analytics. If you choose a treatment or a location in the online appointment booking, we transmit this information in order to recognise which services are in demand. Email addresses in the address of a page are made unrecognisable before they are sent to Google Analytics. Google Analytics does not store IP addresses. Google signals are deactivated. The data is deleted after 14 months.

Without your consent to “Statistics”, Google Analytics is not executed: no cookies are set and no data is transmitted to Google Analytics.

The legal basis is your consent (§ 25 Abs. 1 TDDDG, Art. 6(1)(a) GDPR). We have concluded a data processing agreement with Google. Further information: policies.google.com/privacy.

We advertise our services with Google Ads, a service provided by Google. With your consent to “Marketing”, we measure whether a click on one of our ads led to an appointment booking, a call back request, an enquiry or a call (conversion tracking). For this, Google sets the cookies “_gcl_au” and “_gcl_aw”, each with a lifetime of 90 days; “_gcl_aw” contains the click ID (gclid) of the ad through which you came to us. If you switch between our country websites (for example from weight-doctors.de to weight-doctors.at), the click ID is passed on in the address. From Google we only receive statistical reports on how successful our ads are. We do not use personalised advertising or remarketing.

If you came to us via an ad and have consented to “Marketing”, we pass the click ID on to our practice management system (Praxismanager) together with your details when you request a call back or send an enquiry about a treatment. This allows us to see whether an enquiry came from an ad.

Without your consent to “Marketing”, Google Ads is not run: no advertising cookies are set and no data is transmitted to Google Ads. You can withdraw your consent at any time via “Privacy settings” in the footer of every page; withdrawal applies for the future.

Data may be transferred to the USA in the process; Google LLC is certified under the EU-US Data Privacy Framework. The legal basis is your consent (§ 25 Abs. 1 TDDDG, Art. 6(1)(a) GDPR). Further information: policies.google.com/privacy.

Fonts, videos and maps

The fonts and the films at the top of the pages are hosted on our server. Two items come from Google and only load when you expressly click on them:

  • Videos from YouTube: Only when you click “Load video from YouTube” is the video embedded via youtube-nocookie.com.
  • Maps from Google Maps: Only when you click “Show map” does the map load on the location pages. “Open route in Google Maps” is a simple link to Google.

The provider is Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland. After the click, Google receives your IP address and technical information about your browser and may set its own cookies; data may be transferred to the USA, and Google LLC is certified under the EU-US Data Privacy Framework. The legal basis is your consent, which you give by clicking (Art. 6(1)(a) GDPR, § 25 Abs. 1 TDDDG). Further information: policies.google.com/privacy.

Online appointment booking

With the online booking you arrange a consultation at a location of your choice – on site, by phone or by video. For this we process the treatment chosen, the location, the type of appointment and the appointment itself, as well as the details you provide: title, first and last name, email address, mobile number and date of birth, and, voluntarily, your address and a note.

Confirmation code: So that nobody books using someone else’s data, you confirm the booking with a code. We send it by SMS via the service Esendex, which receives your mobile number and the text of the message for this purpose; if an SMS is not possible, the code is sent by email. Until you enter the code, your details are held briefly on our server; the code is valid for ten minutes, after which the temporarily stored details are deleted.

Passing on to the location: After confirmation, our system enters the appointment in the calendar of the chosen location in our practice management system (Praxismanager), and you receive a confirmation by email. The locations are operated by companies of the group: Dortmund by ourselves, Hamburg by AKH Alster-Klinik Hamburg GmbH, Düsseldorf by Klinik am Seestern GmbH, Wertheim by Main-Tauber-Klinik GmbH, Waalre (Netherlands) by Medisch Centrum Waalre B.V.. The company of the chosen location receives your details in order to prepare and carry out the appointment.

Call back instead of an appointment: If you choose “Still undecided?” or online booking is not possible at a location, your enquiry is sent to the location as a request for a call back – by email (transport-encrypted) to the import mailbox of our practice management system and as a readable copy to the responsible team. If you have consented to “Marketing” and came to us via an ad, the click ID of the ad is included (see “Google Ads conversion tracking”).

The legal basis is the initiation of a treatment contract (Art. 6(1)(b) GDPR); where your details allow conclusions to be drawn about your health – for example the treatment chosen or your note – your explicit consent, which you give by ticking the box before submitting (Art. 9(2)(a) GDPR). We store the details for as long as is necessary for scheduling the appointment and any subsequent treatment, and delete them afterwards, unless statutory retention obligations prevent this.

Contact form

If you write to us via the contact form on the “Contact” page, we process first and last name, email address, phone number, your enquiry and your message, for an enquiry about a treatment also the treatment chosen and the location, and for other enquiries, voluntarily, your company. Enquiries about a treatment are sent, like the call back requests of the booking, by email (transport-encrypted) to the import mailbox of our practice management system, at the chosen location, and as a readable copy to the responsible team; all other enquiries are sent by email to the responsible Weight Doctors team. If you have consented to “Marketing” and came to us via an ad, the click ID of the ad is included with an enquiry about a treatment (see “Google Ads conversion tracking”).

The legal basis is the initiation of a treatment contract or the handling of your enquiry (Art. 6(1)(b) and (f) GDPR); where your details allow conclusions to be drawn about your health, your explicit consent, which you give by ticking the box before submitting (Art. 9(2)(a) GDPR). We delete the details as soon as your enquiry has been dealt with and no statutory retention obligations prevent this.

Mira, our digital assistant

At the bottom right of our pages you can write to Mira, our digital assistant. Mira is not a person and does not replace medical advice; she helps with orientation on our treatments, costs and locations and on the way to an appointment. Please do not write any names, contact details or findings to Mira.

In your browser: The conversation is held only in the memory of this browser tab so that it is retained when you change page, and it ends when you close the tab. Without AI analysis, Mira processes your input exclusively in your browser; answers, frequently asked questions and locations are loaded from our server. Mira does not set any cookies.

AI analysis: If it is switched on (in the chat, “With AI”), we send the text you type to our server and from there to the AI service Claude of Anthropic Ireland, Limited, 6th Floor, South Bank House, Barrow Street, Dublin 4, Ireland for analysis. Only your text is transmitted – without your IP address, without names or other identifiers. The service assigns it to our topics; all content that Mira shows you comes from our website. We do not store your text in the process. Anthropic processes the data on our behalf; data may be transferred to the USA in the process.

Appointment, call back and message: If you book an appointment via Mira, ask for a call back or write to our team, the same applies as for the online appointment booking and the contact form (see there). In addition, your preferred time for the call back, your answers from the compass and – only if you tick the box – the chat so far are passed on to the responsible team.

Questions without an answer: If Mira cannot answer a question, we store the question in order to improve our content – beforehand we remove email addresses, links, phone numbers, longer numbers and names. Only this text, how often it occurred and the day are stored, not your IP address or the time. We delete the entries after 90 days.

The legal basis is our legitimate interest in answering your questions about our services quickly and in improving our content (Art. 6(1)(f) GDPR); for appointment, call back and message, the legal bases of the online appointment booking and the contact form apply. With your consent to “Statistics”, Google Analytics records that Mira is being used (opening, messages, appointment), never the content.

Spam protection

We protect the booking and forms with ALTCHA, a method that runs on our own server: when you submit, your browser solves a small computing task and our server checks the result. No cookies are created in the process, and no data goes to third parties. To guard against mass requests, we also count how often requests or codes are requested from an IP address or for an email address; for this, only the times are stored against a daily changing check value (hash), not the address itself, and only the requests of the last hour are taken into account. The legal basis is Art. 6(1)(f) GDPR (protection against misuse).

Newsletter

When booking, you can voluntarily tick a box to say that you would like to be informed about news, offers and promotions from Weight Doctors and the CGCE Group. We store this consent together with your contact details (Art. 6(1)(a) GDPR). You can withdraw it at any time – via the unsubscribe link in every message or informally at hallo@weight-doctors.de.

We retrieve the reviews on this website from ProvenExpert when the page is created; the number of reviews and quoted voices are held as text on our server, and your browser does not establish a connection to ProvenExpert for this. The references to our reviews on ProvenExpert and the references to the CGCE Group, its clinics and brands are simple links; as soon as you go there, the privacy information of the respective service applies.

Your rights

You have the right of access, rectification, erasure and restriction of processing, to data portability and to object to processing based on legitimate interest. You can withdraw consent you have given at any time with effect for the future. To do so, contact the address given above or our data protection officer. You can also lodge a complaint with a data protection supervisory authority; the authority responsible for us is the Landesbeauftragte für Datenschutz und Informationsfreiheit Nordrhein-Westfalen.
